How to cancel business software: admins, contracts, seats and data

Team plans have rules personal plans don't: only some admins can cancel, annual terms want notice, and seats and data need handling first. Here's how popular SaaS tools handle each.

Sourced. Every number links the page it came from: the service's page in the Stackcut cancel library, or the company's or platform's own help page. Terms change and differ by country, so check the linked page before you rely on a date, a fee or a refund.

The short answer

  • Find out who can cancel first: usually the owner, an admin or a billing admin, and the role differs by tool.
  • Check the notice period: monday.com asks existing customers to cancel at least 30 days before the renewal date, or the plan may renew for another term. Stackcut cancel guide: monday.com
  • Cancelling an annual contract early rarely ends the bill: on a Google Workspace Annual/Fixed-Term Plan, you're charged the remaining balance. Stackcut cancel guide: Google Workspace
  • Removing users doesn't always lower the bill, and seat cuts often wait for the next renewal.
  • Export before the plan ends: Zoom deletes cloud recordings 30 days after a paid plan ends. Stackcut cancel guide: Zoom

Who can cancel a business subscription?

On a team plan, the person who uses a tool often can't cancel it. That sits with the owner, an admin or a billing admin, and the role name differs by vendor. If you don't see a cancel option, check your role, then check who bills the plan, as How to cancel a subscription (2026): find who bills you first explains.

Annual contracts, auto-renewal and notice periods

Business plans renew automatically, and many annual terms want notice before the renewal date. Miss it and you may owe a whole new term. Find the notice period in the vendor's terms or, for a contract signed through sales, your order form, then put the deadline in your calendar. Trials and personal renewals are covered in When to cancel a free trial or renewal so you aren't charged.

The discount is why teams sign annual terms: Google Workspace's Business Starter costs $7.00 per user per month on the Annual Plan, against $8.40 on the Flexible Plan. In exchange, you commit for the whole contract. Stackcut cancel guide: Google Workspace

LinkedIn lists 25% savings on LinkedIn Sales Navigator Core and 6% on Advanced with annual billing. The saving is real only if the team uses the tool for the whole term. Stackcut cancel guide: LinkedIn Sales Navigator

Can you get a refund for cancelling an annual plan early?

Usually not. On most annual business plans, cancelling stops the next renewal, and you keep paying for, and using, the current term. Some vendors refund a first purchase if you ask within a short window.

Rules can differ by country, so check the vendor's terms for yours. Adobe Creative Cloud's fee terms, for example, are written for US subscribers, and South Korea and Brazil have their own.

  • Google Workspace: on an Annual/Fixed-Term Plan, you're charged for the remaining balance of the contract. On the monthly Flexible Plan, new charges stop immediately.
  • Microsoft 365: annual subscriptions paid monthly keep charging each month for the rest of the term. MCA billing accounts can cancel for a prorated credit or refund only within 7 days after the start or renewal. Stackcut cancel guide: Microsoft 365
  • Adobe Creative Cloud: on a teams plan, a cancellation fee may apply depending on the plan and renewal date. On an individual annual plan paid monthly, the US terms charge 50% of the remaining balance after 14 days. Stackcut cancel guide: Adobe Creative Cloud
  • Gusto: cancelling after the 5th of the month, or after running payroll that month, is charged for the full month. Stackcut cancel guide: Gusto
  • monday.com: new customers can ask for a prorated refund within 30 days of their first purchase, but a refund blocks access immediately, so export first. Stackcut cancel guide: monday.com

Remove seats or downgrade instead of cancelling

If the team still needs the tool, fewer seats or a lower tier may be enough. Seat cuts often apply only at the next renewal, and on some plans removing a user doesn't lower the bill at all. Pauses, discounts and other ways to pay less are in Retention offers when you cancel, and other ways to pay less.

  • Google Workspace: on the Flexible Plan, remove user accounts at any time and the next monthly payment drops.
  • monday.com: Change team size lowers paid seats and Change product plan moves to a lower tier, both from the next renewal date.
  • Figma: set a lower seat count for the next renewal; seats already bought can't be decreased mid-term.
  • Box: removing users alone doesn't lower charges. An admin emails cancel@box.com with the number of seats to keep (at least 3 per account), and the change is processed at the end of the term. Stackcut cancel guide: Box
  • 1Password: removed team members come off your next invoice, but on plans that include a set number of people, removing people within that number doesn't lower the bill. Stackcut cancel guide: 1Password
  • GitHub Copilot: for an organization, removing all assigned seats cancels the Copilot plan.

Downgrade to a free plan and keep the workspace

A free plan keeps the account and most data, so it's often a safer first step than closing. Check its limits first: files, users or responses over them may be locked, hidden or deleted.

Export your team's data before the plan ends

Team data is the hardest thing to recreate, and several tools delete it on a schedule. Export while an admin still has access, then open the files to check them. The full checklist is in Export your data before you cancel: files, photos, playlists, notes.

Billed through an app store, reseller or sales contract?

The company that bills you is the one that cancels. Microsoft 365 says it can't cancel App Store, Google Play or retailer purchases, so you cancel with the seller. Stackcut cancel guide: Microsoft 365

If a tool's cancel button is missing, the plan may be billed in one of these places. For the store-by-store steps, see Cancel subscriptions on iPhone, Android, Amazon, Roku and PayPal.

  • App stores: plans bought in a mobile app are cancelled in your Apple or Google Play subscriptions. Zoom, Dropbox, Hootsuite, QuickBooks Online and GoDaddy all document this route.
  • Resellers: Google Workspace bought from a Google reseller is cancelled through the reseller, and so are Adobe Creative Cloud team plans bought through one.
  • Atlassian (Jira, Confluence, Trello): subscriptions bought through an Atlassian Partner are deactivated in the partner-managed subscriptions portal, by the customer contact the Partner assigned.
  • Payroll partners: a Gusto account billed through an accountant or partner can only be cancelled by them.
  • Invoices and sales contracts: monday.com plans paid by wire transfer, QuickBooks Online Advanced and Hootsuite Enterprise are cancelled through the account manager. Shopify Plus stores go through Plus Support, and Figma Organization and Enterprise plans use a support form.
  • Marketplace apps: cancelling Shopify uninstalls all apps and bills any pending charges at once, but apps billed outside Shopify billing can keep charging after the store closes.

What keeps billing after you cancel?

Cancelling the main plan doesn't always stop every charge. Domains, add-ons, extra workspaces and marketplace apps often bill on their own schedule, so check the next statement.

Stackcut is adding packets for more business tools. If yours isn't in the cancel library yet, check its billing settings and terms for the same points: who can cancel, the notice period, seats and data. Found a flow that changed? Write to support@stackcut.io.

  • Wix: domains, business email and app subscriptions keep renewing until you cancel each one.
  • Squarespace: domains, Google Workspace, Acuity Scheduling and Email Campaigns stay active and billed until you cancel each.
  • Shopify: domain renewals aren't cancelled with the store, so transfer the domain or turn off its renewal.
  • Webflow: Site plans and Workspace plans are billed separately, so cancel both to leave.
  • Atlassian (Jira, Confluence, Trello): each Trello Workspace is billed separately, so cancel each paid one.
  • Adobe Creative Cloud: with more than one plan, cancel each plan separately.

FAQ

Can a team member cancel a team plan?

Usually not. On monday.com, only an admin can cancel, and on Box Business and Enterprise, only the account administrator. A GitHub Copilot seat given by an organization can't be cancelled by the user, so ask an owner.

Why is there no cancel button in our billing settings?

Zoom lists the usual reasons: the plan was bought through Apple or Google Play, it's managed by another account or organization, or self-service isn't supported for the account. Stackcut cancel guide: Zoom

If Constant Contact shows no cancel option under Manage plan, the account can't be cancelled online, and you call Billing Support instead. Stackcut cancel guide: Constant Contact

Do we get a refund if we cancel an annual plan early?

Rarely. Most vendors stop the renewal and bill the rest of the term, and Google Workspace charges the remaining balance of an annual contract. Stackcut cancel guide: Google Workspace

Microsoft 365 MCA billing accounts can get a prorated credit or refund only within 7 days after the start or renewal. Stackcut cancel guide: Microsoft 365

What happens to our data after we cancel?

Zoom keeps cloud recordings for 30 days after a paid plan ends, then deletes them. Stackcut cancel guide: Zoom

Box's terms let you request access to your content within 14 days after termination; after that, it may not be retrievable. Stackcut cancel guide: Box

GoDaddy deletes the product and all its data after the cancellation date, so export first: see Export your data before you cancel: files, photos, playlists, notes.

Is cancelling the same as deleting the account?

No. Cancelling stops the renewal, while deleting closes the account and removes data. Hootsuite warns that deleting closes the account at once with no partial refund, and loses scheduled messages, Streams, Inbox conversations and Analytics data.
