How to cancel Otter.ai

The owner or an admin cancels in Account Settings, Billing, Cancel plan (web) or Manage subscription (app), at least 24 hours before the next billing date. App Store and Google Play subscriptions are cancelled there. No refunds; the workspace then drops to Basic with only the 25 most recent conversations.

The short answer

  • Where: Sign in to Otter.ai as an admin and click your profile in the left navigation menu.
  • When it ends: The subscription expires at the end of the billing cycle; until then everyone in the workspace keeps paid features. The workspace then continues on the free Basic plan.
  • Contract notice: The Terms renew each subscription automatically unless a party gives written notice 30 days before the subscription or renewal term expires; renewal periods can be set differently in an Order Form. How to give notice
  • Billed by someone else? Cancel with them instead: Apple or Google Play.
  • Before you go: export One conversation's transcript or audio. What to save
  • Want to keep it for less? Pause and more. Options

Before you cancel

Export first

  • One conversation's transcript or audio: Open the conversation, click the three dots in the top corner, then Export and choose a format (TXT on the Basic plan; DOCX, PDF, SRT and MP3 audio on paid plans). Basic plan users can export only as TXT, so export other formats before the plan ends help.otter.ai
  • Many conversations, audio or Takeaways at once: In My Conversations, Channels, Direct Messages or Folders, tick the conversations, click the Export icon, choose formats and settings, then Export; a download link arrives by email (ZIP file). Bulk export is only on the Business and Enterprise plans help.otter.ai

What happens to your data

Conversations stay in the account after you cancel or downgrade, but on the Basic plan members can open only the 25 most recent. Deleting the account permanently deletes conversations from Otter's servers; some account information, such as email, is kept for accounting and administrative purposes.

What you lose

  • Paid features for everyone in the workspace
  • Access to all but the 25 most recent conversations
  • DOCX, PDF and SRT exports (Basic exports TXT only) and bulk export
  • Deactivated team members can't sign in or access their conversations

For AI agents

  • The person signs in and handles any two-factor code; an agent should never ask for a password.
  • Retention step: The web flow asks for your main reason for unsubscribing, then shows a pop-up to review before Cancel subscription; the help page offers Pause Plan as an alternative
  • Only the owner or an admin can cancel
  • Cancel at least 24 hours before the next billing date
  • Deleting the mobile app does not cancel an App Store or Google Play subscription
  • Cancelling is not deleting the account; deleting forfeits paid subscriptions, so cancel (and export) first
  • Moving from App Store or Google Play billing to web billing: wait until the store subscription expires to avoid a double charge
  • Export conversations before the plan ends: Basic keeps only the 25 most recent accessible and exports TXT only

Get this plan as data: get_exit_plan on the Stackcut MCP (stackcut.io/mcp), or /exits/otter.json. After using a guide, send structured report_guide_feedback for matching or changed steps, missing billing routes or human handoffs; keep unknown language and market omitted. Confirm with the person before the final click, and report the outcome with report_action_outcome, using the exact packet_revision and route_id returned by the plan.

Or give your agent the stackcut-leave skill (a zip): it exports first, walks the steps, stops when the page doesn't match, and leaves the final click to the person.

Delete your account (separate from cancelling)

Cancelling stops the payments; deleting removes the account and its data. Delete-account page (rated easy).
