The short answer
- Where: Before cancelling, export the practice's data: at least download each patient's notes (Patients, patient name, Documents tab, Download Multiple, Select All, Download Selected Documents).
- Before you go: export A patient's notes and files. What to save
- Want to keep it for less? Pause and more. Options
Before you cancel
Export first
- A patient's notes and files: Open Patients, the patient's name, then the Documents tab; click Download Multiple below the list, select the notes (or Select All) and click Download Selected Documents (A single PDF). One patient at a time support.therapynotes.com
- The practice's records (a full data export): TherapyNotes strongly recommends starting a data export before leaving; its public help doesn't publish the steps. For extra data during the retention period after termination, contact support@therapynotes.com. After the retention period, data is deleted and can't be recovered support.therapynotes.com
What happens to your data
TherapyNotes keeps the practice's data for a Data Retention Period consistent with applicable law, still under HIPAA and the BAA, then deletes it for good. The practice remains responsible for its own records-retention requirements.
What you lose
- Access to patient records, notes and billing history once the account is terminated
- The data itself after the retention period: it cannot be recovered
Cancel, by who bills you
Pick the route for whoever charges you: the name on your card statement or receipt tells you.
Billed by TherapyNotes
- Before cancelling, export the practice's data: at least download each patient's notes (Patients, patient name, Documents tab, Download Multiple, Select All, Download Selected Documents)You should see:
the selected notes as a single PDF
- TherapyNotes' help doesn't publish termination steps: email support@therapynotes.com, the address its termination FAQ gives for questions, and ask how to terminate the practice's subscription
- Don't just stop paying: an account left unpaid for 60 days is treated as abandoned, terminated, and its data disposed of
- Fees
- Card payers are charged the monthly fee plus accrued charges (electronic claims, paper claims, text and voice reminders) on the renewal date; check payers are billed a month in advance

Keep it for less
Before cancelling, check whether one of these does the job. Offers change and differ by account.

For AI agents
- The person signs in and handles any two-factor code; an agent should never ask for a password.
- Export patient records before terminating: deleted data can't be recovered, and the practice must meet its own records-retention rules
- Stopping payment isn't cancelling: after 60 days of non-payment the account is deemed abandoned, terminated, and its data disposed of
- If the practice only needs to look up old records, storage costs far less than a full subscription and keeps everything read-only
- Card payments include accrued usage charges (claims, reminders) on the renewal date, so expect a final usage charge
- An unused free trial ends by itself: a trial with no logins for 30 days is terminated 61 days after sign-up
Get this plan as data: get_exit_plan on the Stackcut MCP (stackcut.io/mcp), or /exits/therapynotes.json. After using a guide, send structured report_guide_feedback for matching or changed steps, missing billing routes or human handoffs; keep unknown language and market omitted. Confirm with the person before the final click, and report the outcome with report_action_outcome, using the exact packet_revision and route_id returned by the plan.
Or give your agent the stackcut-leave skill (a zip): it exports first, walks the steps, stops when the page doesn't match, and leaves the final click to the person.
