The short answer
- Where: In the navigation tabs (left on web, bottom on mobile), select Workspaces.
- When it ends: Immediately and permanently. Future charges stop, but Expensify bills monthly in arrears, so you're still billed for activity already incurred during the current calendar month.
- Contract notice: Notify Expensify by email (concierge@expensify.com) before the end of the term. A Statement of Work renews for another year unless either party gives notice at least 90 days before the end of the SOW Term, and the SOW's own termination terms apply. How to give notice
- Before you go: export Expenses and reports. What to save
- Want to keep it for less? Cheaper plan and more. Options
Before you cancel
Export first
- Expenses and reports: Go to Spend > Reports, tick the items (or the top checkbox for all), click Selected, choose Export, then Basic Export, All Data – Expense Level Export, All Data – Report Level Export, Current view or a custom template (CSV) help.expensify.com
- Full reports with receipts and notes: Tick the reports in Spend > Reports, click Selected, then Download reports (PDF). PDF export is only available for full reports, not individual expenses help.expensify.com
- Receipts: Tick the reports in Spend > Reports, click Selected, then Download receipts (ZIP file) help.expensify.com
What happens to your data
Submitted expenses and reports stay available to workspace admins, auditors and the original submitter after a workspace is deleted. Expensify says it deletes personal data as soon as practicable after you stop using the service, except what it must keep for legal obligations, disputes and enforcing its agreements.
What you lose
- The workspace and its settings (a deleted workspace can't be recovered)
- New messages in workspace rooms (they are archived; history stays viewable)
- Unsubmitted expenses, if you also close your personal account
Cancel, by who bills you
Pick the route for whoever charges you: the name on your card statement or receipt tells you.
Pay-per-use: delete the workspace
- In the navigation tabs (left on web, bottom on mobile), select Workspaces
- Select the three dots next to the workspace and choose Delete workspace (or open the workspace, select More, then Delete)
- Click Delete to confirm, then repeat for every other workspace you own
- In Expensify Classic instead: go to Settings > Workspaces, click the cog icon next to the workspace name and select Delete
- Confirm it worked
- The workspace's rooms are archived: history stays viewable but no new messages can be sent
- Access ends
- Immediately and permanently. Future charges stop, but Expensify bills monthly in arrears, so you're still billed for activity already incurred during the current calendar month
- Refunds
- Fees are nonrefundable, with no refunds or credits for partially-used periods
Annual subscription
- To stop the renewal: go to Account > Subscription and choose Subscription settingsYou should see:
Subscription size, Auto-renew and Auto-increase annual seats
- Disable Auto-renew and confirm your choice; also disable Auto-increase annual seats so the term isn't extended
- To ask to end the commitment early: in Account > Subscription select Cancel subscription
- Choose the main reason you're canceling, add the requested details, review the acknowledgment that approval isn't guaranteed, then select SubmitYou should see:
Subscription canceled (approved automatically) or Request submitted (reviewed, with a reply in your Concierge chat)
- Once the workspace is on Pay-per-use, delete it to stop all charges (see the route above)
- Confirm it worked
- A Subscription canceled confirmation; Request submitted means Expensify will follow up through Concierge
- Access ends
- With Auto-renew off, the Annual subscription stays active until the renewal date shown, then the workspace continues on Pay-per-use. After an approved cancellation the workspace continues on Pay-per-use, billed month to month, until you delete it
- Notice
- Turn off Auto-renew (or tell Expensify by email at concierge@expensify.com) before the term ends; otherwise it renews for another 12 months
- Refunds
- No refund is described for an approved early cancellation in New Expensify: the workspace just moves to Pay-per-use. In Expensify Classic, Request a Refund (for owners of a Collect or Control Group workspace who've been billed only once and have no outstanding balance) deletes the workspace and adds a refund line item to Billing History. Otherwise fees are nonrefundable
- Fees
- If the request isn't approved, you keep paying for the rest of the Annual term; you're also responsible for fees accrued up to the date of cancellation
Invoiced subscriptions
- Contact your Account Manager or Concierge to change or end the subscription (an invoiced subscription can't be downgraded from the app)
- To stop an auto-renewing package, notify Expensify by email at concierge@expensify.com before the end of the term
- Notice
- Notify Expensify by email (concierge@expensify.com) before the end of the term. A Statement of Work renews for another year unless either party gives notice at least 90 days before the end of the SOW Term, and the SOW's own termination terms apply
- Refunds
- Fees are nonrefundable, with no refunds or credits for partially-used periods

Keep it for less
Before cancelling, check whether one of these does the job. Offers change and differ by account.
- Cheaper plan On Pay-per-use, switch a Control workspace to Collect ($5 per unique member a month instead of $36 per active member): Workspaces > [workspace] > Overview > Plan type. The new rate applies from the next monthly bill; a Control workspace on an Annual subscription can't downgrade until the term ends help.expensify.com help.expensify.com
- Free plan A free Submit workspace lets an employee scan receipts, code expenses and submit them to an approver, without premium features (approvals, payments, cards, accounting integrations). A paid workspace can't be moved back to Submit help.expensify.com help.expensify.com help.expensify.com
- Pay yearly Control on an Annual subscription costs $18 per member in the subscription size a month (plus $36 per active member above it), against $36 per active member on Pay-per-use. It is a 12-month commitment help.expensify.com
- Discount program Control workspaces on an Annual subscription can get up to 50% off based on Expensify Card usage help.expensify.com
For AI agents
- The person signs in and handles any two-factor code; an agent should never ask for a password.
- Retention step: Cancel subscription asks for your main reason and details, then shows an acknowledgment that approval isn't guaranteed, before Submit
- Cancelling an Annual subscription does not stop charges: the workspace moves to Pay-per-use and bills active members monthly until you delete it
- Cancel subscription only appears after the free trial ends and once a payment card has been added or you've been billed at least once
- One subscription covers every workspace the owner owns: delete each one to stop billing
- A workspace on an Annual subscription can't be deleted, and its owner can't close their account, until the term ends
- Increasing the subscription size, manually or through Auto-increase annual seats, starts a new 12-month term
- Billing is monthly in arrears: expect one more bill for the current month's activity after deleting
- Only the Workspace owner can cancel, change plans or delete; another workspace admin can transfer ownership to themselves, but the remaining commitment stays
- Closing your personal account is separate from cancelling, and isn't possible while you own a workspace
- Statement of Work customers: the SOW renews for a year at a time unless notice is given at least 90 days before the SOW Term ends
Get this plan as data: get_exit_plan on the Stackcut MCP (stackcut.io/mcp), or /exits/expensify.json. After using a guide, send structured report_guide_feedback for matching or changed steps, missing billing routes or human handoffs; keep unknown language and market omitted. Confirm with the person before the final click, and report the outcome with report_action_outcome, using the exact packet_revision and route_id returned by the plan.
Or give your agent the stackcut-leave skill (a zip): it exports first, walks the steps, stops when the page doesn't match, and leaves the final click to the person.
